Dealing with duplicates: case study

The Challenge

While working on a large telecom dispute we identified within our 2.1 million document population an unusually high percentage of duplicate Office documents due to the way in which our clients conducted business.

Within the duplicate pool, we identified approximately 13,000 sales and marketing PowerPoint presentations that were attached to hundreds of different emails.

Because they contained sales and marketing information for multiple customers, these PowerPoints needed to be heavily redacted.

Our Solution

Using our custom duplicate identification scripts, we were able to group these duplicates and near duplicates together and only apply the redactions to one master document in each of the duplicate groups. By using our automatic redaction technology we were able to automatically redact hundreds of data points relating to customer information that needed to be withheld.

We were then able to propagate the redactions from the master document to all its duplicates automatically.

The Outcome

By utilising our custom duplicate identification technology, our automatic redaction tools and our redaction propagation technology to reduce the number of duplicate attachments that needed to be reviewed and redacted we were able to save our client over £100,000 in manual review and redaction costs.
